INFO: How to quickly find large email
Back to Microsoft Outlook 2007
Posted on 10.14.10

Please be careful sending emails that have pictures or images. Often times these emails are very large in size and can cause issues with staff members that are in classes, off campus recruiting, in meetings, or our wonderful Adjuncts who can’t access email easily to remove the items. We understand you are using tools to catch the attention of the reader but these emails can quickly fill an email account. In the future we will have a workshop to show tips and techniques on how to shrink the size of images and pictures.

To quickly evaluate which email might be large:
1. Located in the Outlook Folder List is a folder called Search Folders. Click the plus sign +
beside the Search Folders to expand the contents.
2. This folder has sub categories (Large Mail, Larger Than 100 KB, etc) that allow you to
quickly view email that may be large and impacting your email capacity. It is recommended
you permanently remove the email (press and hold the Shift key and press the Delete key)
or click and drag the email to your Personal Folders. Personal Folders do not impact the
storage capacity of Outlook as it resides on your personal computer’s hard drive and is
    inaccessible from off campus.
