How do I find a student’s phone number?  And Social Security number?  Option 5, Student Admissions, on the Faculty Menu.  Tab down to the Last Name line, enter student's last name. Click "select" at the bottom of the screen. If multiple students come up, select the number with the correct first name.  On the next screen you'll see the social security number, address and phone number for the student.  Copy the social security number with your mouse so that you can paste it into other screens.

 

Where do I look for Placement Test scores?  Option 8 on the Faculty Menu will show you the placement test results as well as the date of the test. Be sure to use the most recent test date results.

 

What code do I use when prompted for the semester? 

For a Fall semester, use 1 plus the actual year (i.e. 107)

For a Spring semester, use 2 plus the actual year (i.e. 208)

For a Summer Session, use 3 plus the actual year (i.e. 308)

For Winter Session, use 4 plus the actual year (i.e. 408)

 

What is the most useful screen for advising? Option 2, View Transcript, will give you all courses taken at CCC, transfer credits approved from other colleges, as well as the student’s current curriculum and any s/he had been enrolled in previously. Social security number is required (Option 5 will give you this –copy, then paste the number once you’re in Option 2).

 

How do I print a transcript? Select Option 2, View Transcript. Hit “Enter” until the screen says “end of transcript”. Select File, Print. When prompted, select “Display memory” to print the entire transcript on one page.

 

What is the View Geta option used for?  Option 3, View Geta, will show you which general education requirements have been fulfilled for a particular student, and which courses satisfied those requirements. Social security number is required (Option 5 will give you this –copy, then paste it once you’re in Option 3).

 

How do I know if a course has prerequisites? Option 9 will give you this. Enter the course and section number, using all-caps. Or use the College Catalog, available in print and online.
